1. Who we are and what this notice covers
New Dynamics LTD is responsible for personal information collected through www.new-dynamics.com and for deciding how it is used for our website enquiries and resources. In data protection terms, we are the controller for these activities.

This notice covers visitors to our website, people requesting a demonstration or team introduction, and people downloading our guides and templates. It describes the website’s current collection and use of information. It does not replace an organisation’s employee privacy notice or the data processing arrangements agreed for a New Dynamics software workspace. If your employer uses a workspace, ask your employer about the use of your employment information.
2. Information we collect
We collect information you provide directly, together with limited information needed to operate the website and record your request.
- Demo and team enquiries: first and last name, work email, company, job title, company size and any optional context you provide. We also record the type of enquiry and the page from which it was submitted.
- Guide and template downloads: name, work email, company, the resource requested, any optional pain points or additional details, and whether you ask us to contact you about those challenges.
- Job applications: your name, email, optional telephone number and LinkedIn address, the role you apply for, your answer about the right to work where that role is based, any optional covering note, and the CV you attach. Your CV must be a PDF and is read by the people considering your application.
- Request administration: submission time, a request identifier used to recognise retries, the source page and, for resource requests, the privacy notice version and your contact preference.
- Correspondence: information you include when you contact us and the subsequent conversation needed to answer your question.
- Technical information: hosting and network services may process IP addresses, request times, browser information, requested pages and error or security information to deliver and protect the website.
- Optional analytics: if enabled and accepted, page views and interaction events such as a demo button click or resource request, together with the technical information processed by the analytics provider.
Fields marked as required are needed to process that form. Without them, we cannot complete the online request. Optional pain points and additional context are not required to download a guide or template. You can read the website’s public guide and template articles without submitting the download form.
Please do not submit passwords, individual employee records, health information, disciplinary details or other confidential or sensitive personal information through these forms. Describe an organisational challenge without identifying the people involved.
3. How and why we use your information

Where we rely on legitimate interests, we consider the purpose of the use, whether it is necessary and the impact on your rights and expectations. You can object to processing based on legitimate interests; see section 9.
Submitting a demo or team form asks us to respond to that enquiry. Downloading a guide or template does not automatically subscribe you to marketing emails. The download form’s optional contact choice lets you request a conversation about your challenges; leaving it unticked does not prevent the download. You can ask us to stop promotional contact at any time by emailing contact@new-dynamics.com.
We do not sell information submitted through our website forms. We do not use these forms to make solely automated decisions with legal or similarly significant effects on you.
4. Who receives your information
Authorised New Dynamics operators use enquiry information to deal with your request. The website also relies on service providers:
- Vercel: hosts the website and its server-side form endpoints, and processes technical information needed to deliver and operate the service.
- Google Sheets and Google Apps Script: receive and store demo, team and resource-request records in our private enquiry tracker.
- Slack, when configured: receives internal alerts about saved demo and resource requests, including submitted contact details, the requested resource and any notes, so our team can respond. Application alerts carry your details and the name of your CV file, not the file itself.
- Our recruitment destination, when configured: receives job applications and the attached CV so the hiring team can read them. Where no destination is connected, the form tells you to email your CV to us instead.
- Google Analytics and PostHog, when configured: receive optional website analytics after consent. Form field values, including names, email addresses and free-text answers, are excluded from the analytics events we send.
We may share relevant information with professional advisers or authorities when necessary to comply with a legal obligation or establish, exercise or defend legal rights. We do not publish your form submissions on the website.
Links to vendor sites, source material and other external services take you to organisations with their own privacy notices. Local copies of comparison logos and our Bristol photograph are served as website assets; viewing them does not require loading those images directly from the original source sites.
5. International processing
Our service providers operate internationally. Depending on the service and account configuration, personal information may be processed outside the United Kingdom. This notice does not promise that website enquiry information remains exclusively in the UK.
Where a transfer is restricted by UK data protection law, an appropriate lawful transfer mechanism is required, such as an applicable adequacy regulation or approved contractual safeguards with any necessary additional measures. The mechanism depends on the destination and the relevant provider arrangements. Contact contact@new-dynamics.com to ask about the locations and safeguards relevant to your information, or to request information about applicable safeguards.
6. How long information is kept
We keep personal information for as long as it is needed for the purpose for which it was collected, taking account of legal obligations and the need to establish, exercise or defend claims. The appropriate period depends on the record and the circumstances; a single fixed period does not apply to every website enquiry.
For enquiry and resource records, relevant criteria include whether your request has been resolved, whether a business discussion or relationship is continuing, the time since relevant contact, the information’s continuing usefulness for the stated purpose, and any applicable legal requirements. Technical and analytics retention also depends on the provider and service configuration.
For a job application, we keep your details and CV while the role is open and for a reasonable period afterwards, so we can answer questions about the decision and consider you for a similar opening. Ask us to delete your application at any time and we will, unless we must keep a record for a lawful reason.
You can ask us about retention for your records or request deletion by contacting contact@new-dynamics.com. We will explain if information must be retained for a lawful reason. A deletion request does not automatically remove records that we are legally required or otherwise entitled to retain.
8. Keeping information protected
The public website uses HTTPS, server-side form validation and signed communication with the enquiry tracking service. The tracker is private, and signing secrets are kept out of browser code. Our security page explains the website controls and how to discuss security requirements for a software workspace.
No internet service can guarantee absolute security. If you believe information submitted to us has been exposed or misused, contact contact@new-dynamics.com. Please describe the concern without sending passwords or unnecessary sensitive information.
9. Your data protection rights
Subject to the conditions and exceptions in applicable law, you may have the right to:
- Ask for access to your personal information and a copy of it.
- Have inaccurate information corrected and incomplete information completed.
- Ask for information to be erased or its use restricted.
- Object to processing based on legitimate interests, and object to direct marketing at any time.
- Receive certain information in a portable format where the legal conditions apply.
- Withdraw consent where processing relies on it.
Email contact@new-dynamics.com with your request. We may ask for enough information to verify your identity and locate the relevant records. We normally respond within one month; where the law permits an extension for a complex request or multiple requests, we will explain the reason. Requests are normally free, subject to the exceptions allowed by law.
You can also complain to the UK Information Commissioner’s Office. Visit the ICO’s complaints guidance for details. We would welcome the chance to address your concern directly, but you do not have to contact us before approaching the regulator.
10. Children and changes to this notice
This website and its business resources are intended for an adult professional audience and are not directed at children. If you believe a child has provided personal information to us, contact us so we can consider the appropriate action.
We may update this notice when website functionality, service providers or our information practices change. The date at the top identifies the current version. Where a change requires further notice or consent, we will take the steps required by applicable law.
